Westlake, Florida, had to find a better way to handle its meetings process as well as modernize its website to provide its community with online resources.
The old approach Westlake utilized for meetings was outdated and slowed staff down. This was because documents had to be formatted by hand and agendas were not easily submitted. Uploading documents to the website also took some time as the old site's content management system was difficult to use.
When seeking answers to these issues, Westlake partnered with Municode and is now utilizing two solutions from the Circle of Governance™: Meeting Management and Website Design & Hosting. Meeting Management now automates the creation of agendas and packets, no longer bogging staff down with the details. This process is so easy that documents can be created effortlessly minutes before the meeting begins. During the meetings themselves, the clerk can display the activities of the meeting on a monitor so attendees can follow along with roll call, agenda items, key discussion points, and live voting. After meetings are completed, uploading them online requires a single click as the software integrates with the website. With the city's new website, the community has access to meetings minutes and other transparent content such as online payments, online submitable forms, e-mail subscriptions, public records requests, various documents and a staff directory of every department. These pages are easy to maintain with a new content management system. This CMS is quick to learn for anyone on staff and needs little training, if any. The site's design and layout are completely modernized to simplify navigation. All content can be found in three clicks or less ensuring the community finds what they need quickly.
