Oak Hill, West Virginia, needed a full suite of options to revamp and modernize how they draft/publish their Code of Ordinances, meetings, and City Charter. In addition, they wanted a brand new website that would increase transparency as well as integrate their self-publishing and meetings solution.
Oak Hill's old method of drafting Ordinances was tedious and paper-based. This presented a challenge when staff wanted to make edits, even small ones. Their old process for creating agenda packets and minutes shared similar issues. Since they wanted their new solutions to integrate into a brand new website, they needed one capable of handling it.
Oak Hill combined four Circle of Governance Solutions to meet their goals: Self-Publishing Software, Policies & Procedures Software, Meetings Management, and Website Design. With Self-Publishing software, staff can now effectively draft, edit, and publish ordinances directly from existing code. Voting, signing, and scanning are also built into the platform allowing for a streamlined approach to handling code. The same features apply to their charter as Policies & Procedures allow staff to handle multiple governmental publications. Meetings Management provides the city with a simple way to handle meetings. Automated workflows and an MS-word-based platform ensure agendas can be created on time, even up to the last minute. To tie both of these solutions together, Oak Hill's new website hosts both their code, charter, and meeting minutes as well as other relevant content for residents.
